Camp Terms and Policies

Reservations, Deposits and Payments
To reserve a space at one of Cape Fear Fencing Association’s fencing Camps, you must first start by completing an application accompanied by the minimum deposit of $50 per class. Applications and/or balance of total amount is required 30 days before before the specified camp date Late applicants may be placed on a waitlist pending space availability. $50 of the stated tuition is a non-refundable fee.

Billing
CFFA’s Fencing Camps will bill one time for the balance owed after the initial $50 check deposit is received by mail or paid on-line. Final payment is due by date stated, which is usually 30 days before camp date. $25 late fee is added on to the balance remaining 15 days before tour/camp date.


Cancellation/Withdrawal
Individuals may withdraw from the camp at any time, but must do so in writing. Telephone, fax or third party cancellations will not be accepted. Persons canceling for medical reasons will receive a full refund based on the published refund policy. Written notification, including a physician's letter must be made within 72 hours of the event that causes cancellation.

Refund Policy
Refunds are based upon date of withdrawal letter as determined by the date postmarked on the withdrawal letter. Persons canceling will receive a full refund less the cancellation fees listed below. After the $50 deposit, all money will be applied to the CFFA camp. Allow a minimum of 30 days for processing.

[Note: In addition to the stated administration/application fee ($50) kept by CFFA’s Fencing Camps, airline penalties, insurance premiums, applicable late fee, special/excursion fees are non-refundable]

31 days or more before 1st day of camp: Refund less $50
30 days before 1st day of camp: No refund

Substitute Person
Persons wishing to substitute another person in their place may do so provided a letter of withdrawal and new application are sent in the same envelope along with an additional $50 application fee. If CFFA’s Fencing Camps cannot accept a substitute person, the original person must abide by the published refund policy. CFFA’s Fencing Camps will not deal with any exchange of monies. Original applicant's fees will be transferred to substitute. Letters of request must be postmarked 15 days prior to camp date.

CFFA’s Fencing Camps staff cannot make travel arrangements.


CFFA’s Fencing Camps Includes...
Workshops/classes, field trips and some meals (1 dinner, 2 lunches & snacks.)


CFFA’s Fencing Camps does not Include...
Lodging, transportation to or from hotel and all non-inclusive items listed under Hollywood Camp.


Special Needs
CFFA’s Fencing Camps do not suggest this program for those who would have difficulty walking, climbing stairs, or otherwise requiring special assistance.

If special meals are required, a written request is required (or in 'comment' section on the application).

Discipline Policy
All children deserve the opportunity to participate in a safe, friendly and respectful atmosphere. In order to accomplish this, we have developed a standards set of rules and consequences.
Standard Rules

  • Always stay with the Group.
  • Follow Staff instructions on the first request.
  • Keep your hands and feet to yourselves.
  • Show respect for others and their property.

Consequences

1. Verbal warning
2. If inappropriate behavior persists, or if the behavior is disruptive, a “time-out’ will be given. The child will be asked to sit and watch an activity for a short period of time (3-5 minutes).
3. A longer “time-out” will be given or privileges will betaken away i.e. snack bar, swimming, etc.
4. Parent/Staff Communications letter will be given to the parent to sign.
5. If a child receives three (3) Parent/Staff Communication notes during one summer, or is physically violent towards the Staff or other campers, the child may be asked to leave the program.
